If a reference letter is entirely full of praise, it can sometimes lose credibility. Rather, mentioning a small weakness in a positive light adds a touch of realism. For example—“They can be a perfectionist while working, but that is why their work is always flawless.”

4. Recommendation:

Finally, the referee should clearly state why they find the applicant suitable for the respective program. This can be a strong recommendation in one or two lines—for example, “I have no doubt that they are extremely well-suited for this scholarship program.”

How to Submit a Reference Letter

The method of submitting a reference letter depends on the guidelines of the respective university or scholarship authority. Usually, there are two ways:

1. Direct Submission:

Some institutions require applicants to upload a scanned, signed reference letter themselves. In this case, you must prepare it in the specified format.

2. Submission via Email:

Many universities will request a reference letter directly from the referee by emailing them at the address provided in your application. Therefore, you need to provide the referee’s official email address, job title, and phone number accurately.

Important:
The referee’s email must be official (e.g., [email protected]). Many institutions do not accept letters sent from personal Gmail or Yahoo addresses.

1. Start preparations three months in advance: Contact your referees at least 2-3 months before your application deadline.

2. Support them with your CV: Share your CV and goals (SOP) with your referee so they can write about you more effectively.

3. Have multiple referees: If you’re applying to several universities, use different referees at different places so that no one gets bothered repeatedly.

4. Express gratitude: Once the task is done, thank your referee sincerely. This will help if you need their support again in the future.

5. Consider alternatives if teachers are busy: Sometimes university teachers are busy. In such cases, your assistant professor or ‘teaching assistant’ may also serve as a good referee if they know you well.

Common Mistakes to Avoid

  • Don’t choose a referee who doesn’t know you: A reference from someone unfamiliar with you will not be credible.
  • Don’t send the same copied letter everywhere: Each reference letter should be customized according to the program and the institution.
  • Don’t pressure the referee: Requesting at the last minute or giving them very little time can be frustrating for referees.
